Send a package or an RFI to someone outside your company with a link bound to their email, and take their review back from the same page.
A 40 MB package attached to an email bounces off the reviewer's server, and their comments come back as a scanned stamp and a paragraph you retype. Share sends them a link instead, bound to their address, and the page it opens is where they read, mark up and answer. Their response lands on your record.
Send a share
Share, in the page header, opens the Share with an outside reviewer window. Pick a contact from this project's people or the directory, or add someone new with their firm; everyone who gets a link becomes a contact on the project. Each recipient gets their own emailed link. There is no link to copy and paste around, because every link is bound to one person's email address.
Only a submittal with a current compile or an issued revision, or an RFI with its PDF built, can be shared. If there is nothing to send yet the window says so; compile or issue the revision and come back. The share serves the latest issued revision when one exists, otherwise the current compiled package.
What the recipient sees
The link opens a letter addressed to them. Before they can see the package they request a 6-digit code, which goes to the same email address the link was sent to. Entering the code opens the package in a viewer, with its details, earlier issued revisions, and a download. Their session slides with use up to a day; asking for a new code takes seconds.
On an issued revision they highlight, box or note the exact spot each comment is about, and every mark needs a comment. They state the outcome, type their comments, attach a stamped PDF if they have one, and send. Until you record it they can take the response back. Add a colleague gives someone else at their firm their own link, and your Share window shows who added them.
Recipients do not need a Submittal Kit account.
Record what came back
The response appears in the revision's drawer on the Submittal Log under Responses from the share link, and the dashboard lists the submittal as Response waiting. Accept files their PDF and a PDF of their marks as returned documents, and sends their comments to the candidate review with the section and equipment each mark landed on. Use it records the stated outcome alone. Dismiss sets it aside.
An RFI takes a typed answer, what it does to the work, and an optional signed PDF; Accept on the RFI record files the PDF and puts the answer on the record.
After the resubmittal
Issuing the next revision offers Notify reviewers, on by default, and each active recipient gets a fresh link. Their page lists their earlier comments with your answers; they mark each one accepted or raise it again with what still needs to change, and the Comment Response Log shows it as theirs.
Activity and revoking
The Share window shows, per recipient, whether the link has been opened, how many times it was viewed, when it was last downloaded, and their last response. Revoke link shuts one recipient's link off immediately; the other recipients keep theirs. A share expires on its own after 30 days with no view, response or issue notice; re-adding a recipient sends a fresh link.
Sharing never changes the record on its own. Nothing a reviewer sends is filed until you accept it.
